Which QuickBooks should a Sterling Heights business pick?
If you're setting up QuickBooks for the first time, it's QuickBooks Online, unless you need Desktop Enterprise. Intuit's page on new Desktop subscriptions says Desktop isn't available to new US subscribers and the deadline to buy one was September 30, 2024. The products that went were Pro Plus, Premier Plus and Mac Plus, along with Desktop Enhanced Payroll.
Dates in this post are as of October 2026 and come from Intuit's own help pages. Intuit updates those pages, so check the current version before you commit to anything.
Sterling Heights sits directly north of Warren, with Troy on its west side and Clinton Township to the east, according to Wikipedia's Sterling Heights entry. A machine shop off Mound Road and a salon on Hayes face the same choice here, and the software rules don't change at the city line.
What's actually different between the two?
Mostly where it runs. The QuickBooks Online system requirements page lists current web browsers on computers, iOS and Android, and says it works in a browser even on Linux. The QuickBooks Desktop 2024 requirements page wants Windows 11 or Windows Server installed natively, and it rules out emulators and virtual environments.
| Question | QuickBooks Online | QuickBooks Desktop Pro Plus or Premier Plus |
|---|---|---|
| Can a new US business buy it? | Yes | No, new sales ended September 30, 2024 |
| Can a current subscriber keep it? | Yes | Yes, existing subscribers can renew |
| Where it runs | A web browser on a computer or phone | Windows installed natively on a computer or server |
| Works on a Mac? | Yes, in Safari | Only through Mac Plus, which is also closed to new buyers |
| Needs the internet? | Yes, it runs in the browser | Yes, Intuit lists internet access as a requirement |
Read that table as one fact first: for a new business, Desktop Plus is off the menu, so the real comparison is Online against Enterprise.
Can you stay on QuickBooks Desktop?
Yes, if you already subscribe to Desktop Plus. Intuit says existing subscribers can keep renewing and that it still provides security updates, product updates and support for them. The catch is the version year. Intuit's Desktop 2023 discontinuation policy says Desktop 2023 lost support after May 31, 2026, along with live technical support, Desktop Payments, online bank feeds and critical security updates for that version.
Losing bank feeds is the part that hurts the books. Without them, transactions have to be entered by hand, which is slower and easier to get wrong at month end. The same Intuit page says Desktop Plus subscribers get the 2024 version as part of their annual plan, so check the version year in your copy before you assume you're covered.
When does Desktop Enterprise make sense?
Enterprise is the one Desktop product Intuit still sells to new buyers. Intuit pitches it at businesses that want to stay on Desktop with more users, up to 40 at the same time, plus inventory and multi-entity management and more than 200 customizable reports, all by its own description. If only one or two people work in your books, you probably don't need that much room.

What happens to your data if you move from Desktop to Online?
Most of the core lists come over. Intuit's guide to what transfers from Desktop to Online lists the chart of accounts, customers and jobs, vendors and terms, and it turns memorized transactions into recurring ones.
Some things stay behind. The same guide says bank connection setup, price levels, custom templates, memorized reports, past reconciliation reports and the audit trail don't move, and existing users have to be invited again. It also notes that Online allows only one default A/R and one default A/P account, and that cash basis reports may not match Desktop.
- Reconcile every bank and credit card account in Desktop through the last full month before you switch.
- Save copies of past reconciliation reports and any memorized reports you rely on, since neither comes across.
- Write down your price levels and custom invoice templates so they can be rebuilt in Online.
- After the move, run a balance sheet and a profit and loss for the same date in both systems, on the accrual basis.
- Reconnect the bank feeds and invite each user again in QuickBooks Online.
- Keep a backup of the old Desktop file rather than deleting it.
Step four is the check that matters. Intuit says accrual reports should match after the move, so a difference there points at something that didn't come across cleanly.
So which one fits your situation?
| Your situation | What usually makes sense |
|---|---|
| New to QuickBooks | QuickBooks Online, since Pro Plus and Premier Plus are not sold to new US subscribers |
| On Desktop Plus 2024 or later and happy with it | Keep renewing it |
| On Desktop 2023 or older | Move to Online unless a Plus or Enterprise plan covers an upgrade |
| Many users or heavy inventory, and you want Desktop | Look at Desktop Enterprise, the Desktop product still sold |
| Books need to be reachable from a Mac or a phone | QuickBooks Online |
Where does a bookkeeper fit in?
Setup is where a lot of later mess starts: a chart of accounts copied from a template, or a bank feed pointed at the wrong account. TrustBooks offers QuickBooks setup and monthly services, covering QuickBooks Online or Desktop setup, chart of accounts customization, bank and card feed setup, user training and monthly QuickBooks maintenance.
If your Desktop file is months behind, catch-up bookkeeping covers reconciling past periods and correcting errors, which is worth doing before any move.
